Onboarding Roadmap: From Sign-Up to Success!

Listen (about 2 minutes) or read below.

Here's exactly what happens once you sign up. You'll get a welcome email with a short onboarding form and a link to book your kickoff call.

The form covers your business basics: your business name, website, service areas, hours, services, goals, and who on your team should get alerts. Phone carriers also require your legal business name and EIN to approve business texting, and you'll enter those in the same secure, encrypted form. Please never send your EIN, bank details or passwords by email or text.

To receive payments from your customers, you'll enter your bank details yourself on Stripe's secure page. Our team never sees your full account numbers. You'll also invite us as a manager on your Google Business Profile, website and social accounts. That's safer than sharing passwords, and you can remove our access anytime.

Tiers 1 and 2 take two days. Day 1: your kickoff call, plus account, phone and CRM setup. Day 2: automations, booking and review requests, then your walkthrough and go-live.

Tiers 3 and 4 take three days. Day 1: kickoff and account setup. Day 2: automations, AI and integrations. Day 3: full testing, your walkthrough, and go-live.

You get access to your CRM at go-live, once onboarding is complete and everything has been tested.

From you, we just need replies within one business day, and you on the kickoff and go-live calls.

If you started with the FREE trial, nothing is charged today. There is NO sign-up fee. Your first month is charged on day 15, after your 14-day trial ends. If you cancel before then, you pay nothing at all. And if you chose an annual plan, your full year was charged at sign-up, with two months FREE.

Loudoun County HVAC companies: how to turn this fall's tune-ups into year-round maintenance members

A one-time tune-up pays once. A maintenance member pays every month and calls you first. Here's a 7-step plan to turn Loudoun's fast-growing list of homeowners into a steady base of members, with a worked example you can run before winter.

It's a Saturday in early November in Ashburn. A homeowner turns the heat on for the first time this season, smells dust burning off the furnace and wonders whether something is wrong. She bought the house new and has no idea who installed the system. So she searches "HVAC near me" and calls whoever shows up first. Two years ago, a local company tuned up that same system and never contacted her again.

If you run a heating and cooling company in Loudoun County, the question we hear is this: "How do I stop doing one-time tune-ups and build a base of maintenance members who come back every year?" Here's a practical answer, step by step, plus how our team builds it for you. In short: we build custom, multi-AI-agent, automated SaaS CRMs, in any of 15 languages, tailored to your business, so every tune-up customer gets a clear, easy reason to stay with you.

Why Loudoun is a membership market

Loudoun has grown fast, and much of its housing is young. According to Loudoun County's summary of 2020 Census housing data, the county had 109,442 housing units in 2010 and 142,074 in 2020, an increase of more than 32,000 homes, or 30 percent, in ten years. The county's Office of Management and Budget estimates Loudoun's population at 455,193 for 2025, up from 312,311 in the 2010 Census.

For an HVAC company, that growth means two things. First, thousands of households in places like Ashburn, Brambleton and Leesburg moved into new homes, and many of them still don't have a heating and cooling company they call first. Second, systems installed during the building boom of the 2000s and 2010s are getting older every year, and their owners will need regular service, repairs and, eventually, replacements. The company they already trust gets that work.

The timing also helps. ENERGY STAR recommends an annual pre-season check-up by a contractor, with the cooling system checked in the spring and the heating system in the fall. It even suggests planning the check-ups around the spring and fall time changes. The clocks fall back this Sunday, November 1, so the reminder practically writes itself.

What a membership base could be worth

Here's a simple example. The numbers are illustrative, not from a real client, so plug in your own.

  • A five-truck HVAC company has 1,200 past customers across Loudoun County.
  • It offers a maintenance plan at $20 a month that covers a fall heating check-up, a spring cooling check-up and priority scheduling.
  • Over the fall, 8% of past customers join. That's 96 members.
  • 96 members at $240 a year is $23,040 a year in recurring revenue, before any repairs or replacements those visits lead to.

Memberships with automatic monthly payments come with our Tier 3 Scale & AI Enterprise plan at $997 a month. To start smaller, our Tier 2 Growth & Automation plan ($597 a month) plus the Rewards Lite add-on ($97 a month) runs your membership welcome and renewal messages. In this example, member fees alone cover Tier 3, and the check-ups fill your schedule before the busy seasons.

A 7-step plan to turn tune-ups into members

You can follow these steps with or without us. They work best together.

1. Build a list of everyone you've ever served. Pull names, phone numbers, emails, addresses and the last service date from your invoices, your scheduling app and old spreadsheets. Put them in one place. Add the system type and install year if you know them.

2. Write a plan your customers can explain in one sentence. Keep it simple: two check-ups a year, priority scheduling and a set discount on repairs. Put the price, cancellation terms and what's not included on one page. If a homeowner can't explain the plan to their spouse, it's too complicated.

3. Send a "time change" reminder this weekend. Text and email your past customers: "The clocks fall back this Sunday, a good time for your heating check-up. Book in two taps here." Link straight to your online calendar. Stop the reminders as soon as someone books.

4. Offer the plan at the end of every visit. The best moment to sell a membership is right after your tech finishes a check-up and the homeowner is happy. Send a text that same afternoon with a short summary of the visit and a one-tap link to join. For new-home buyers, add one line: "We'll remind you twice a year, so you never have to remember."

5. Let members pay automatically. A monthly or yearly payment that runs on its own is what makes a membership work. Send a welcome text and email with what's included and when the next visit is due, and a friendly reminder before a card expires.

6. Book the next visit automatically. Six months after each check-up, every member gets a reminder to book the next one, in the spring for cooling and in the fall for heating. Members who don't book get a polite follow-up a week later.

7. Thank members for referrals and ask for reviews the right way. A neighbor's recommendation goes a long way in a new subdivision, so a simple thank-you, or a credit on a member's next visit for a referral, makes sense. Ask every customer for a Google review after the job, but never offer anything in return for a review.
