Onboarding Roadmap: From Sign-Up to Success!

Listen (about 2 minutes) or read below.

Here's exactly what happens once you sign up. You'll get a welcome email with a short onboarding form and a link to book your kickoff call.

The form covers your business basics: your business name, website, service areas, hours, services, goals, and who on your team should get alerts. Phone carriers also require your legal business name and EIN to approve business texting, and you'll enter those in the same secure, encrypted form. Please never send your EIN, bank details or passwords by email or text.

To receive payments from your customers, you'll enter your bank details yourself on Stripe's secure page. Our team never sees your full account numbers. You'll also invite us as a manager on your Google Business Profile, website and social accounts. That's safer than sharing passwords, and you can remove our access anytime.

Tiers 1 and 2 take two days. Day 1: your kickoff call, plus account, phone and CRM setup. Day 2: automations, booking and review requests, then your walkthrough and go-live.

Tiers 3 and 4 take three days. Day 1: kickoff and account setup. Day 2: automations, AI and integrations. Day 3: full testing, your walkthrough, and go-live.

You get access to your CRM at go-live, once onboarding is complete and everything has been tested.

From you, we just need replies within one business day, and you on the kickoff and go-live calls.

If you started with the FREE trial, nothing is charged today. There is NO sign-up fee. Your first month is charged on day 15, after your 14-day trial ends. If you cancel before then, you pay nothing at all. And if you chose an annual plan, your full year was charged at sign-up, with two months FREE.

DC restaurants: how to book more holiday parties now and fill your tables in January

Holiday party and catering inquiries arrive by phone, web form, email and social media, and the first restaurant to answer often wins. Here's a simple plan to reply in minutes, follow up on every quote and turn December guests into January regulars.

It's early November. An office manager on K Street has been asked to find a room for 40 people for her team's holiday party. Over lunch, she fills out the private-events form on three restaurant websites and calls a fourth. One restaurant replies within ten minutes with open dates, a sample menu and a link to hold the date. The others answer the next afternoon, or not at all. By then, she has already paid a deposit.

If you run a restaurant in Washington, DC, the question we hear this time of year is this: "How do we answer every holiday party and catering inquiry fast enough to win it, when we're slammed every night?" Here's a practical answer, step by step. In short: we build custom, multi-AI-agent, automated SaaS CRMs, in any of 15 languages, tailored to your business, so every inquiry gets a fast reply and steady follow-up, even in the middle of dinner service.

Why December and January belong in the same plan

In a January 2026 post on the blog of DC's Department of Licensing and Consumer Protection, the president and CEO of the Restaurant Association of Metropolitan Washington (RAMW) noted that January and August are historically the slowest months for restaurants. The same post describes RAMW's winter Restaurant Week, which ran in late January, as a way to bring diners in during a traditionally slow season.

So the guests you host in December are worth more than one big check. Every office party brings in dozens of people who may never have eaten with you before, and the person who booked it may plan the next event, too. If you collect their contact details and permission to stay in touch, you'll have a ready-made list to invite back when January gets quiet.

Where holiday inquiries get lost

  • The phone rings at 7:30 p.m. on a Friday, and nobody can step away to answer it.
  • A web-form inquiry lands in a general inbox that the events manager checks twice a week.
  • A quote goes out, the planner doesn't reply, and nobody follows up.
  • Someone asks about a party through Instagram or Facebook, and the message sits unread.

None of these problems are about your food or your room. They're about speed and follow-up, and both can be automated.

What faster replies could be worth

Here's a simple example. The numbers are illustrative, not from a real client, so plug in your own.

  • A restaurant near Navy Yard gets about 40 private-event and catering inquiries between November and mid-December.
  • Today, slow replies and missed follow-ups mean it books 8 of them.
  • With replies in minutes and automatic quote follow-up, suppose it books 4 more.
  • At an average of $2,500 per event, that's $10,000 in extra holiday revenue, before counting any guests who come back in January.

Our Tier 2 Growth & Automation plan ($597 a month), the plan most restaurants choose, includes catering quote follow-up and post-event thank-you messages. In this example, one extra party covers several months of the plan.

A 7-step plan for holiday party season

You can follow these steps with or without us. They work best together.

1. Put every inquiry in one place. Calls, web forms, emails and Facebook and Instagram messages should all land in one inbox that your events lead checks every day, with a clear status for each one: new, quoted, deposit paid, booked or lost.

2. Reply within minutes, even during service. Set up an instant reply for every form and message: thank the planner, share your holiday menus and room sizes, and ask for the date, head count and budget. If a call goes unanswered, text the caller back right away with a link to your events form.

3. Send a quote within one business day. Keep two or three set holiday packages, so most quotes take five minutes, not an afternoon. Include a secure link to pay the deposit and hold the date.

4. Follow up on every open quote. If there's no answer, send a short email after one day and a text after three, and give a manager a call task after six. Most planners aren't saying no; they're just busy.

5. Confirm and remind. Once the deposit is in, send a confirmation with the deadline for the final head count, then a reminder a few days before the event.

6. Thank the host and ask for an honest review. The day after the event, send the planner a thank-you note with a link to leave an honest review on Google. Ask every host the same way, and never offer anything in exchange for a review. Our post on turning a busy season into a steady stream of Google reviews shows how to time those requests.

7. Invite December guests back in January. With their permission, add hosts and guests to your list. Send a January offer for your slowest nights, and about 90 days after each event, invite the host to plan the next one, from a spring offsite to a summer happy hour.
